From enquiry to confirmed reservation

The booking record begins with guest, stay and room information. Hotels may also need to distinguish individual, group, company or travel-agency business because the responsible party and folio structure can differ.

Rate codes and booking plans help staff apply the intended commercial arrangement consistently. The reservation then becomes part of expected-arrival and occupancy views.

Arrival and check-in

On arrival, staff should be able to find the reservation quickly, verify registration details, confirm room readiness and complete check-in. Re-entering the entire booking at this point creates delay and increases the chance of inconsistency.

For walk-in guests, a direct check-in flow should still create the same structured guest, room and folio record.

Managing normal changes

Real stays change. Guests extend or reduce their stay, move rooms, cancel, fail to arrive or check out under different settlement arrangements. A reservation system should preserve those changes in the operational history rather than hiding them in notes.

SAFHA supports reservation-led and direct check-in, groups, room transfers, extensions, reductions, cancellations and no-shows within the wider front-office workflow.

Practical review checklist

  • Booking details are easy to retrieve at arrival
  • Availability and room assignment use consistent records
  • Group and corporate business is handled deliberately
  • Stay changes remain traceable
  • The reservation connects to folio and checkout

Frequently asked questions

What information does a hotel reservation system manage?

It typically manages guest identity, stay dates, room details, booking or rate information, reservation status and the transition into check-in.

How is a reservation system different from a PMS?

Reservation management is one core part of a PMS. The PMS continues through room operations, the active stay, folios and checkout.
